BioBattlers Ltd (“BioBattlers”, “we”, “us”, or “our”) is committed to protecting your privacy and personal data. This Privacy Policy explains how we collect, use, store, and protect information when you use the BioBattlers mobile application (the “App”) and our website at https://biobattlers.co.uk (together, the “Services”).

By accessing or using the Services, you acknowledge that you have read and understood this Privacy Policy.

1. Information We Collect

We collect only the information necessary to operate, maintain, and improve the BioBattlers experience.

1.1 Personal Information

When you create an account or use the App, we may collect the following information:

  • Email address

  • Display or collector name

  • Unique user identifier

  • Gameplay data, including experience points, captured creatures, and collection progress

We do not collect precise GPS location data linked to an identifiable individual.

1.2 Usage and Technical Information

We automatically collect limited technical and usage information, including:

  • Device type, operating system version, and App version

  • Error logs and crash reports

  • Aggregated and anonymised usage and gameplay statistics

This information is used solely to improve performance, reliability, and user experience.

1.3 Location Information

If you grant permission, we may collect approximate location data only (for example, region or county level) for anonymised in-game visualisation and discovery features.

This location data:

  • Is not precise GPS data

  • Is not stored alongside identifying user information

  • Does not include address-level or household-level detail

  • Is used solely for in-game map and discovery functionality

You may withdraw location permission at any time through your device settings.

1.4 User Inputs and Image Processing

When using the App, you may submit content such as photographs or gameplay inputs (“User Inputs”).

When you take or upload a photograph:

  • The image is processed temporarily for identification purposes only

  • The image is transmitted securely to a third-party recognition service

  • BioBattlers does not store, retain, or archive user-submitted images after identification is completed

By submitting User Inputs, you confirm that:

  • You have the legal right to provide the content; and

  • The content does not contain personal data or infringe the rights of third parties

BioBattlers uses automated systems, including third-party APIs, to generate in-game creatures, statistics, and artwork based on identification results.

All generated creatures, artwork, and associated data form part of the BioBattlers game environment and are owned by BioBattlers Ltd. Users are granted a limited, non-exclusive, non-transferable licence to access and interact with such content solely within the App.

2. How We Use Information

We use collected information to:

  • Operate and maintain the Services

  • Enable gameplay features such as collections and map visualisation

  • Manage user accounts and gameplay progress

  • Improve performance, stability, and security

  • Diagnose technical issues and analyse anonymised usage trends

We do not sell, rent, or trade personal data to third parties.

3. Third-Party Services

To operate the Services securely and reliably, BioBattlers uses the following third-party providers:

  • Firebase (Google) – user authentication, cloud database services, analytics, and crash reporting

  • Amazon Web Services (AWS S3) – secure hosting of game assets and images

  • Kindwise API – environmental image recognition

    • Images are processed temporarily

    • Images are not retained or linked to user identities

    • Only identification results (e.g. species name) are returned

  • OpenAI – generation of creative text and illustrative assets using identification results only; no photographs or personal data are shared

  • Google Maps Platform – display of regional map views and aggregated discovery data

All third-party service providers process data under contractual obligations consistent with applicable data protection laws, including UK GDPR and EU GDPR, and solely for the purposes of providing services to BioBattlers.

4. Information Sharing

We may disclose limited information only where necessary:

  • To comply with legal obligations or lawful requests

  • To enforce our Terms of Service

  • To protect the rights, safety, or property of users or BioBattlers

  • To trusted service providers supporting App functionality

We do not share personal data with advertisers or external marketing organisations.

5. Data Retention

We retain personal data only for as long as necessary to provide the Services.

If you delete your account, your personal data is permanently removed from our systems, subject to any legal retention requirements.

Aggregated and anonymised gameplay statistics and in-game data may be retained for internal analysis and continuity of the game environment.

6. Security

We implement appropriate technical and organisational measures to protect personal data, including:

  • Encrypted data transmission using TLS

  • Restricted access controls

  • Secure cloud infrastructure and development practices

While no online service can be guaranteed to be completely secure, we take reasonable steps to safeguard user information.

7. Your Rights

Subject to applicable law, you may:

  • Access, correct, or delete your personal data

  • Delete your account via the in-app Help → Delete Account feature

  • Withdraw location permissions through your device settings

  • Contact us to exercise rights under UK GDPR, EU GDPR, or other applicable privacy laws

8. Children’s Privacy

BioBattlers is designed to be family-friendly and educational and is recommended for users aged 9 and above.

BioBattlers does not knowingly collect personal data from children under the age of 13. Data processing is designed to minimise collection and comply with applicable children’s privacy laws, including the UK GDPR and the Children’s Online Privacy Protection Act (COPPA).

Parents or guardians who believe a child has provided personal data may contact us to request deletion.

9. International Data Transfers

BioBattlers operates internationally. Personal data may be processed or stored on secure servers located in the United Kingdom, the European Union, or the United States, subject to legally recognised data transfer safeguards.

10. Analytics

We use limited analytics tools solely to monitor application performance and diagnose technical issues. Where supported, analytics features may be restricted or disabled through device or app-level privacy settings.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Any changes will be published within the App and on our website, with the “Last updated” date revised accordingly.
